Privacy Policy

1. Overview

MathMate ("MathMate," "we," "us," or "our") provides an AI-assisted platform for math teachers, school staff, and administrators to generate lessons, practice sets, formative assessments, and related instructional content. This Privacy Policy explains what information we collect when you use MathMate, why we collect it, how it is used, and the choices available to you.

This policy applies to mathmate.org and the MathMate application. It does not apply to third-party websites or services that you may access through links from MathMate.

2. Information We Collect

Account information:

• Name and email address provided at signup or through Google sign-in.
• Password credentials, when applicable. Passwords are stored as salted, irreversible hashes; MathMate does not store or have access to your plaintext password.
• School or district affiliation, if you sign up through a school account, license, or invitation.

Content you create:

• Lesson plans, practice sets, thinking tasks, and other materials you generate or save using MathMate.
• Grade level, topic, standard, and other selections you make when generating content.
• Messages you send to the MathMate Coach chatbot or to MathMate support.

Billing information:

• Subscription plan and billing status. Payment card details are collected and stored directly by Stripe. MathMate does not receive or store your full payment card number.

Usage and device information:

• Log data such as IP address, browser type, device type, and pages or features used.
• Approximate location inferred from IP address for security, fraud prevention, and abuse detection.

3. How We Use Your Information

• To provide, maintain, operate, and improve MathMate and its tools.
• To generate the instructional content you request, including by transmitting relevant inputs to third-party AI services that support content generation.
• To authenticate users, manage accounts, and maintain platform security, including email verification and password-reset functions.
• To process payments and manage subscriptions.
• To communicate with you about your account, respond to support requests, and send service, product, or promotional communications when permitted. Non-essential marketing communications will include an unsubscribe option.
• To detect, investigate, and prevent fraud, misuse, abuse, or violations of our Terms of Service.
• To comply with applicable legal obligations.

4. Student Data and School Accounts

MathMate is designed for use by teachers, school staff, and administrators and is not intended for students to create their own accounts. MathMate does not require teachers to provide student names, student identification numbers, educational records, or other personally identifiable student information in order to generate instructional materials.

Users should avoid entering sensitive or personally identifiable student information into prompts, chats, or other MathMate fields unless it is necessary, permitted by their school or district, and lawful. Schools and educators are responsible for following their own student-data policies and applicable education privacy requirements when using MathMate.

School administrators who purchase or manage a school license may be able to view teacher account status and seat usage within their organization. They do not receive access to the content of an individual teacher's generated materials solely by virtue of being a school administrator.

5. How We Share Information

We do not sell personal information. We may share information only as reasonably necessary in the following circumstances:

Service providers:

• Companies that process information on our behalf to provide hosting, AI generation, authentication, payment processing, email delivery, security, and related platform functions.

School administrators:

• Limited account and seat information for school-licensed accounts, as described above.

Legal and safety requirements:

• When disclosure is required by law, legal process, or reasonably necessary to protect the rights, property, security, or safety of MathMate, our users, or others.

Business transfers:

• If MathMate is involved in a merger, acquisition, financing, reorganization, or sale of assets, information may be transferred as part of that transaction, subject to applicable law.

6. Third-Party Service Providers

MathMate currently relies on third-party providers that may process information in order to operate the service:

• OpenAI — AI-assisted generation of lesson content, practice problems, and related instructional materials.
• Black Forest Labs — generation of vocabulary-card images and illustrative scene art.
• Stripe — subscription payment processing. Stripe receives payment information directly; MathMate does not store full card details.
• Google — optional "Sign in with Google" authentication.
• Neon (PostgreSQL) — production database hosting.
• Railway — application hosting.
• Namecheap Private Email — transactional email services.
• Cloudflare (Turnstile) — bot and abuse prevention for signup and login.

These providers process information according to their respective agreements, privacy policies, and security practices. The providers used by MathMate may change as the service evolves.

7. Data Retention

Account information is retained while an account is active and may be retained for a reasonable period afterward when needed for legal, billing, security, fraud-prevention, or dispute-resolution purposes.

Email verification and password-reset codes are short-lived, single-use, and expire automatically.

Generated content that you save may be retained until you delete it, your account is closed, or retention is otherwise required for legitimate operational or legal purposes.

You may request deletion of your account and associated personal information by contacting admin@mathmate.org. Certain information may be retained when required or permitted by law.

8. Security

We use reasonable administrative, technical, and organizational safeguards designed to protect information handled by MathMate. These safeguards include password hashing, one-way hashing and expiration of verification/reset codes, encrypted HTTPS connections, and restricted access to production systems.

No method of electronic transmission or storage is completely secure, and MathMate cannot guarantee absolute security.

9. Your Rights and Choices

• You may review or update available account information through MathMate.
• You may request access to, correction of, or deletion of personal information by contacting admin@mathmate.org. We may need to verify your identity before completing certain requests.
• Non-essential marketing emails include an unsubscribe option. Transactional and service-related communications may still be sent when necessary to operate your account.

Depending on where you live, applicable privacy law may provide additional rights concerning your personal information. You may contact admin@mathmate.org to make a privacy request or ask a question about those rights.

10. Children's Privacy and Education Data

MathMate accounts are intended for teachers, school staff, and administrators, not for direct use by children under 13. We do not knowingly offer accounts directly to children under 13 or intentionally collect personal information directly from them through account registration.

MathMate is not intended to serve as a student information system or repository for student educational records. Educators and schools should not submit student personal information unless they have determined that doing so is authorized under their policies and applicable law. If we learn that personal information from a child has been collected in a manner that requires deletion, we will take reasonable steps to delete it.

Schools or districts that require a separate student-data privacy agreement or data-processing agreement should contact admin@mathmate.org before using MathMate in a manner that involves protected student information.

11. Cookies and Similar Technologies

MathMate uses essential session cookies and similar technologies to keep users signed in and support core service functionality. MathMate does not use third-party advertising trackers or sell personal information to advertising networks.

12. Changes to This Policy

We may update this Privacy Policy from time to time. If material changes are made, we will update the "Last updated" date and, when appropriate, provide notice through the Service or by email.
